Minutes to decimal hours

Divide minutes by 60. Payroll multiplies decimal hours by the rate, so every hours-and-minutes figure has to be converted first. These are the values that come up on a rounded time card.

Worked example

Where a week goes wrong

Five days of 09:00 to 17:30 with a 30-minute unpaid lunch is 8 hours a day, 40 for the week. Read the same card as "8.30 hours" a day and it becomes 41.5 — an overpayment of an hour and a half, every week.

The error runs the other way just as easily:

  • 7:45 read as 7.45 underpays by 18 minutes a day.
  • 7:15 read as 7.15 underpays by 6 minutes a day, which is 26 hours a year.
  • An overnight shift subtracted the wrong way gives a negative span, and usually gets typed in as a guess.

Frequently asked questions

How do I convert minutes to decimal hours for payroll?+

Divide the minutes by 60. So 45 minutes is 45 ÷ 60 = 0.75, and 7 hours 45 minutes is 7.75 hours — not 7.45, which is the single most common payroll arithmetic error. Payroll systems multiply a decimal number of hours by the rate, so anything recorded in hours and minutes has to be converted before it is multiplied. What is 7 hours 30 minutes in decimal?+

7.5 hours. Thirty minutes is half an hour, so 30 ÷ 60 = 0.5. At $22 an hour that is $165.00 for the shift. The intuition to avoid is reading the minutes as a decimal fraction: 7:30 on a clock is 7.5 in payroll, and 7:15 is 7.25 rather than 7.15.

How do I calculate hours worked for a week?+

For each day, subtract the clock-in time from the clock-out time, take off any unpaid break, and convert to decimal hours. Add the days together for the weekly total. The calculator above does this for seven days at once and handles overnight shifts, where the clock-out time is earlier in the day than the clock-in time.

Are unpaid breaks deducted from hours worked?+

A genuine meal break where you are relieved of all duty is generally unpaid and comes out of hours worked. Short rest breaks, typically up to 20 minutes, are normally counted as hours worked and paid under federal rules. A meal break where you are still on duty — eating at a desk while covering phones — counts as work time. Enter only the genuinely unpaid minutes in the break column.

When does overtime start?+

Past 40 hours in a workweek for non-exempt employees under the federal Fair Labor Standards Act, paid at 1.5 times the regular rate. Several states add daily overtime — California, Alaska, Nevada and Colorado pay it past 8 or 12 hours in a shift regardless of the weekly total. The threshold above is adjustable for that reason. Should I round employee time?+

Rounding to the nearest quarter hour is permitted under federal rules provided it is neutral over time — it must not systematically favour the employer. Rounding that always goes down, or that rounds only clock-ins up and clock-outs down, is not neutral and creates unpaid work time. The safest practice is to record actual times and convert them, which is what this tool does.

Does this include taxes?+

How does the calculator handle an overnight shift?+

If the clock-out time is earlier in the day than the clock-in time — say in at 22:00 and out at 06:00 — the shift is treated as crossing midnight and counted as 8 hours rather than a negative span. Enter the times as they appear on the clock and the arithmetic follows.
